Important information to read before submitting personal information to a club through My EOI.

Who is collecting the information?
My EOI is operated by Laundro Group Pty Ltd (ABN 75 687 684 546).
The club named at the top of the EOI form and My EOI both handle information submitted through the form.
The club decides the sporting purpose of the EOI, the questions it asks, which authorised club personnel can review the response, and how the information is used for recruitment, trials, assessment, selection and club communications.
My EOI provides and administers the platform used to collect, store and manage the EOI. My EOI also handles information for its own account administration, support, security, audit, legal compliance and platform operations.
Why is the information collected?
The primary purpose is to allow the named club to receive and assess the expression of interest and, where relevant, communicate about programs, eligibility, trials, reviews, outcomes and offers.
My EOI also uses limited information to deliver and secure the service, authenticate users, send requested service communications, provide support, prevent misuse and comply with legal obligations.
What information may be collected?
- Applicant, player, coach, parent, guardian and authorised-representative identity and contact details
- Date of birth, location, gender, current club, playing or coaching history, positions, programs and age groups
- Answers to the club's standard and custom EOI questions
- Images, documents, video or supporting links that the form allows you to provide
- Eligibility answers, consent records and acceptance of club or platform terms
- Technical and security information such as IP address, browser, timestamps and submission records
The particular fields are shown on the EOI form. The club is responsible for limiting its questions to information reasonably needed for the stated sporting purpose.
What if information is not provided?
Fields marked as required are needed to submit the EOI. If required information is not provided, the form may not be submitted or the club may be unable to assess the application, verify eligibility, contact the applicant or arrange a trial.
Optional information can be left blank unless the form clearly explains why it is needed.
Who can receive or access it?
The information will be made available to authorised users of the club named on the form. The club may disclose it to its authorised coaches, selectors, administrators, safeguarding personnel or other service providers where reasonably necessary and lawful for the explained club purpose.
Authorised My EOI personnel and service providers may access information where reasonably necessary to host, support, secure or administer the service. Provider categories are described in the Privacy Policy.
The EOI is not made public unless the form clearly states that particular information is intended for publication or you separately choose to publish it.
Children, guardian authority and media
If the applicant is a child or does not have capacity to provide a required consent, the form must be submitted or authorised by a parent or guardian with appropriate authority.
A parent or guardian submitting for a young person confirms that the details are accurate, that they are authorised to act for the young person, and that the young person has been involved in the decision where practicable.
Do not upload a child's image, video or sensitive information unless the club has clearly requested it for a legitimate purpose and the person submitting it has the authority and consent required by law.
Sensitive information
A club may only request sensitive information where it is reasonably necessary and collection is permitted by law. If a question asks for health, injury, disability, screening or other sensitive information, the form or club should explain the purpose and whether responding is required.
Do not provide medical records, identity documents or other highly sensitive files through a general text or upload field unless the club has provided a clear, specific instruction and privacy explanation.
Marketing is separate
Submitting an EOI does not by itself subscribe the applicant to My EOI marketing. Any My EOI marketing choice must be presented separately and can be withdrawn without stopping necessary EOI, account, security or service communications.
The club is responsible for any marketing it sends independently and must distinguish it from operational communications about the EOI.
Storage outside Australia
My EOI uses cloud, email, hosting, analytics and other providers that may store or process information outside Australia. Current provider categories and information about international processing are set out in the Privacy Policy.
Access, correction, deletion and complaints
Contact My EOI at richard@myeoi.co to request access to or correction of information held through My EOI, ask about deletion or retention, or make a privacy complaint.
My EOI may need to verify identity and coordinate with the relevant club. A request about a club's independent records, assessment or decision may need to be answered by the club.
