3. Images, media and uploaded content

My EOI may collect images, logos, profile photos, screenshots, documents, video links or other uploaded content that users or clubs choose to provide through the platform.

This may include:

  • Club logos
  • Player profile images
  • Images uploaded as part of an EOI or player profile
  • Screenshots or attachments submitted for support
  • Video links or other player-related media
  • Other files or content provided by users or clubs

We use this information to operate the platform, display club and player information, support EOI review workflows, provide support and improve the My EOI experience.

Users and clubs are responsible for ensuring they have the right permissions or consent to upload images or media, especially where the content relates to children or young players.

4. How we collect information

We may collect information when:

  • A user creates an account
  • A parent, guardian or player submits an EOI
  • A club creates or manages an EOI form
  • A club reviews a player submission
  • A club adds notes or sends a message
  • A user replies to a message
  • A user uploads images, documents, videos or links
  • A user submits a support request
  • A user interacts with emails sent by My EOI
  • A user visits or uses the website or platform
  • Analytics, hosting, security or performance tools collect technical information

5. How we use information

My EOI may use personal information to:

  • Operate the My EOI platform
  • Create and manage user accounts
  • Submit EOIs to clubs
  • Allow clubs to review submissions
  • Display club logos, player images or uploaded content where required for the platform
  • Support player review, EOI management and communication workflows
  • Send EOI confirmation emails
  • Send review status updates
  • Send messages between clubs and users
  • Provide customer support
  • Improve the product and user experience
  • Monitor platform performance
  • Maintain security and prevent misuse
  • Meet legal, operational and record-keeping requirements

6. How information is shared

EOI information is shared with the relevant club connected to the EOI.

Authorised club users may be able to view information submitted to their club, including player details, parent or guardian details, EOI responses, messages, images, media and review information.

My EOI may also share information with service providers that help operate the platform. These may include:

  • Supabase, for database, authentication and storage services
  • Vercel, for website and application hosting
  • Resend, for transactional email delivery
  • Google Analytics and Vercel Analytics, for analytics and performance insights
  • Other trusted providers used to operate, secure or support the platform

My EOI does not sell personal information.

7. Children and young players

My EOI may collect information about children and young players where that information is submitted by a parent, guardian, club or authorised user.

This may include names, dates of birth, gender, playing history, preferred positions, profile images, video links and other information relevant to a club's EOI or player review process.

Where images, videos or other media relate to children or young players, parents, guardians and clubs should ensure appropriate consent has been obtained before uploading or submitting that content.

Parents and guardians can contact My EOI to request access, correction or deletion of information, subject to legal, operational and club record-keeping requirements.

8. Emails and notifications

My EOI may send emails and notifications relating to:

  • Account creation and login
  • Email confirmation
  • Password reset
  • EOI submission confirmation
  • EOI review status updates
  • Club messages
  • Parent/player messages
  • Support requests
  • Platform updates

My EOI uses email delivery providers such as Resend and Supabase Auth email services to send these communications.

9. Cookies and analytics

My EOI may use cookies, analytics tools and similar technologies to understand website and platform usage.

This may include tools such as Google Analytics, Vercel Analytics and Vercel Speed Insights.

Clubs may add their own Google Analytics Measurement ID to public EOI forms to understand form traffic and usage. My EOI does not send personal information such as names or email addresses to Google Analytics.

These tools may collect information such as pages visited, browser type, device information, approximate location, performance data and usage behaviour.

Users can manage cookies through browser settings.

10. Data storage and security

My EOI takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

Security measures may include:

  • User authentication
  • Role-based access controls
  • Database security rules
  • Hosting security controls

No online service can guarantee absolute security. Users should keep login details secure and notify My EOI if they believe their account has been accessed without permission.
